Legal Program Associate II

We are looking for a Legal Program Associate (LPA) to play a critical role in our success by supporting client-facing engagements and internal firm deliverables, ensuring effective reporting, compliance, disbursement, and project progression. Our LPA will work closely with leadership from start to finish, and must be independent, self-driven and focused on timelines, details, and deliverables. The ideal candidate will be responsible for multi-tasking and assisting with deliverable reviews, reviewing financial invoices and draw packages, workflow assessment, reporting, contract analysis, project management, compliance and other administrative duties and matters.

You will be a member of the firm’s Administrative Entity (ASE) team interacting with finance, legal and business professionals internally and externally in a team setting.

Responsibilities:

  • Oversee financial management of grant portfolios, including budgeting, forecasting, cash flow analysis, and reporting.

  • Monitor and reconcile grant expenditures to ensure timely and accurate invoicing and drawdowns.

  • Ensure compliance meets funder terms and conditions, and internal financial policies.

  • Liaise and collaborate with subcontractors, grantors, and internal and external stakeholders.

  • Review and examine documents, draw requests, financial reports, etc. for completeness and accuracy.

  • Prepare, facilitate, and attend internal and external team meetings. Additional duties as assigned.

  • Dissect contracts to extract requirements and identify streamlined procedures/processes.

  • Produce literature, train, and support internal teams and grantees on financial requirements, reporting expectations, and allowable costs, as assigned.

  • Maintain, compile, and summarize reports.

  • Provide administrative support and assistance, including the development and maintenance of workflows, SOPs, etc.

  • Other duties, as assigned.

Qualifications:

  • BA/BS degree in Accounting, Finance, Public Administration, or a related field.

  • Minimum 5-7 years’ experience in a Financial, Audit/Quality Assurance setting, Project Management, Service Delivery, Legal, or similar position.

  • Experience managing multi-funder portfolios and navigating complex funding requirements.

  • Experience managing federal and/or state grants required.

  • Experience with technology is a must. Familiarity with financial systems is preferred.

  • Demonstrated strong working knowledge of Microsoft suite of tools. Excel proficiency is required.

  • Ability to work independently and manage multiple priorities and deadlines with limited oversight.

  • Demonstrated ability to manage client expectations and maintain client satisfaction.

  • A proactive approach to problem-solving and the ability to anticipate client needs.

  • The ability to confront unexpected problems quickly and effectively using critical thinking skills.

  • Effective verbal and written communication skills, with the ability to present information to unfamiliar audiences.

  • Strong teamwork, communication (written and oral), client management, and soft skills.

  • Experience in project management.

  • Strong attention to detail and accuracy, with a financial acumen

  • Auditing/compliance background is preferred.

Annual Salary Range: $70,000 - $ 80,000

The base salary range above represents the low and high ends of the AHP salary range for this position. Actual salaries will vary and may be high or low in the range based on a range of factor,s including but not limited to location, experience, and education. The range listed is just one component of AHP’s total compensation package for employees.
