Senior Project Coordinator I

Advocates for Human Potential, (AHP) is looking for a Senior Project Coordinator I (SPC I), a highly skilled professional responsible for leading complex project coordination efforts across multiple projects or large-scale initiatives. This role requires advanced knowledge of project management practices, proactive leadership, and the ability to independently manage high-impact project components. The SPC I plays a key role in supporting project managers by managing critical project tasks, coordinating cross-functional teams, and contributing to strategic decision-making.

Responsibilities

  • Independently manage large project components, including task assignment, scheduling, and execution.

  • Develop and oversee detailed project budgets and financial reports.

  • Identify and mitigate project risks, developing and implementing contingency plans.

  • Lead the preparation of comprehensive project reports for senior leadership.

  • Facilitate cross-functional team collaboration to ensure project alignment and progress.

  • Develop and manage project documentation, including work breakdown structures, project charters, and risk logs.

  • Lead process improvement initiatives to streamline project execution.

  • Guide and mentor junior project staff to support professional growth.

  • Coordinate vendor relationships and oversee deliverable management.

Qualifications

  • Knowledge

  • Strong knowledge of project management frameworks (e.g., Project Management Body of Knowledge [PMBOK], agile, waterfall) with demonstrated application in managing large project components.

  • Comprehensive understanding of project budgeting and financial oversight, including forecasting, expense tracking, and variance analysis.

  • Deep understanding of risk identification, analysis, and mitigation strategies.

  • Strong knowledge of resource management and capacity planning to support multiple projects simultaneously.

  • Expertise in project documentation (e.g., project charters, work breakdown structures, risk registers, stakeholder matrices).

  • Advanced proficiency with project management tools (e.g., Microsoft Project, Smartsheet, Asana, Jira).

  • Comprehensive understanding of AHP’s key focus areas, such as behavioral health, substance use, workforce development, and criminal justice.

  • Knowledge of compliance and regulatory frameworks (e.g., Health Insurance Portability and Accountability Act [HIPAA], data security) applicable to project execution.

  • Skills

  • Advanced leadership skills to influence internal and external stakeholders without formal authority.

  • Strong financial management skills to monitor, track, and report on project budgets.

  • Advanced problem-solving and critical-thinking skills to address complex project challenges.

  • Excellent communication and negotiation skills for engaging with senior stakeholders and external partners.

  • Proficiency in risk assessment and mitigation planning for large-scale projects.

  • Advanced skills in project management tools for scheduling, task tracking, and reporting.

  • Expert time management skills to balance competing deadlines and priorities.

  • Process improvement skills to identify and implement efficiency enhancements.

  • Proficiency in developing high-quality project documentation and stakeholder reports.

  • Abilities

Work Hours and Expectations:
This is a full-time, exempt position. As such, the role is not eligible for overtime compensation under the Fair Labor Standards Act (FLSA). While the standard workweek is 40 hours, exempt employees are expected to work the hours necessary to fulfill the responsibilities of the position. This may include occasional evenings or extended hours during periods of high activity, critical deadlines, or special projects. Flexibility, accountability, and a results-oriented mindset are essential to success in this role.

Education

Degree: Bachelor’s degree in business administration, project management, public administration, or a related field. A master’s degree in business, public administration, project management, or public health is preferred.

Experience

  • 3–5 years of experience in project coordination or administration, preferably in complex, multistakeholder environments.

  • Certified Associate in Project Management (CAPM) required or Project Management Professional (PMP) preferred.

Location

All work must be performed within the United States or its territories. Employees are required to reside in, and carry out their job responsibilities from, a location within the U.S. or a U.S. territory for the duration of their employment. Limited exceptions may be granted for short-term personal or business travel outside of these areas, subject to prior written approval and in compliance with company policy.

Salary Range: $73,000 - $80,000

AHP, in an effort to be transparent with applicants about salary and in compliance with various state pay disclosure requirements, publishes the following information which is current as of the date of posting. The base salary range above represents the low and high end of the AHP salary range for this position. Actual salaries will vary and may be high or low in the range based on various factors including but not limited to location, experience, and education. The range listed is just one component of AHP’s total compensation package for employees. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards.
